Collecting fees in cash or with bank slips creates a lot of paperwork. Parents queue, the bursar counts, and matching a payment to the right student can take days. Mobile money can remove most of that work.
How it works
- Every student gets a unique reference, such as an admission number.
- A parent pays with MTN MoMo or Airtel Money and enters that reference.
- The school's system receives the payment and credits the correct student.
- The parent gets an SMS receipt, and the bursar sees the new balance straight away.
What changes for the school
Less cash is kept on the premises. Balances are up to date instead of weeks behind. The bursar can see, class by class, who has paid and who has not, and reports stop being a manual job.
What to plan before you start
- Reference numbers. They must be unique, and parents must know theirs.
- Part payments. Many parents pay in instalments, so the system must handle balances properly.
- Mistakes. Decide how wrong payments and refunds will be handled.
- Checking against statements. Compare the system's records with the provider's statement regularly.
- Training. The bursar and office staff need to feel confident before the term starts.
- Privacy. Fee information is sensitive, so limit who can see it.
Start with a pilot
Try it with one class or one term's top-up payments before moving the whole school. You will learn what parents find confusing while the stakes are small.
